Terms of Use

These terms set the ground rules for using SchoolSuite365 to run school administration, connected portals, mobile workflows and enabled integrations.

Agreement and roles

SchoolSuite365 is a software service from MBTS NIG. LTD. These platform terms apply to authorised users. The subscribing school’s order, subscription, data-processing agreement and local policies may add terms for that school; where they conflict, the applicable signed agreement or mandatory law controls.

Accounts and authorised access

  • Use only the account, school, role and records assigned to you. Do not share credentials, impersonate another person or allow unauthorised access.
  • Keep passwords, recovery methods, devices, API keys and one-time codes private. Use a strong unique password and report suspected compromise immediately.
  • School administrators are responsible for invitations, role assignments, access reviews and disabling accounts when a person changes role or leaves.

Acceptable use

  • Do not bypass permissions, probe or scan the service, introduce malware, overload infrastructure, scrape records, or interfere with another tenant or user.
  • Do not upload content that is unlawful, infringing, discriminatory, malicious, misleading or unsafe for children and school communities.
  • Do not use school records for an unauthorised purpose. Correct academic, attendance, finance, payroll and safeguarding errors through the approved workflow.
  • Do not use the service to send unsolicited messages or to collect payment credentials outside an approved provider.

Customer responsibilities

The school is responsible for the accuracy and lawful use of information it enters, its notices and permissions, its connected providers, its users’ devices, and decisions made from platform records. Users must verify important results, approvals, payments, payroll actions and safeguarding decisions before relying on them.

Automation and AI features

Automated suggestions, generated comments, forecasts, reminders and other assistive features are provided for review. They may be incomplete, inaccurate or unsuitable for a particular learner or decision. An authorised human must review and approve any consequential academic, financial, employment, safeguarding or communication outcome.

Subscriptions, payments and integrations

Plan, term, renewal, billing and usage terms are set by the school’s applicable order or subscription record. Payment gateways, app stores, email, SMS, WhatsApp, push and other connected providers may have separate terms, fees, limits and outages. A payment is confirmed only when the ERP and the provider’s verification both show success.

Content and intellectual property

The school and its users retain rights in the records and content they provide. MBTS NIG. LTD. retains rights in SchoolSuite365, its software, design, documentation and improvements. You receive a limited, non-transferable right to use the service for the authorised school purpose while your account or subscription permits.

Availability and maintenance

We aim to keep the platform dependable, but availability may be affected by planned maintenance, connectivity, device limitations, provider outages, security response, force majeure or events outside reasonable control. We may change, retire or improve features and will communicate material changes through appropriate school channels.

Security and incidents

Users must follow the Security page and promptly report suspected compromise, data exposure or misuse. We may investigate, limit, suspend or preserve access and records when necessary to protect people, the service, a school or an investigation.

Suspension, termination and export

Access may end when a school relationship, subscription or user authorisation ends, or sooner when necessary for safety, law, non-payment, abuse or security. Subject to verification, legal holds and retention requirements, the school may request an export during its agreed transition period.

Disclaimers and limits

The service is provided for school administration and does not replace professional legal, medical, financial, safeguarding or educational judgement. To the extent permitted by applicable law, each party’s liability and remedies are governed by its school agreement and mandatory law.

Updates and questions

The effective date and version above identify these platform terms. Continued use after a published material update means the updated terms apply to future use, subject to any notice or approval required by the school’s agreement. Questions and suspected misuse should be raised through Support; security reports belong on the Security page.
